Call for Project Assistant (part-time position, 50%)

The European Students’ Union (ESU) is looking for a proactive and dynamic team player (m/f) to fill the part-time position of Project Assistant for the period of 01.09.2011 until 28.02.2012 (with a possible prolongation of the contract) at its headquarters in Brussels, Belgium.

ESU is the umbrella organisation of 45 national unions of students from 38 European countries. ESU represents and advocates the educational, social and economic interests of 11 million students at the European level - European Union, Council of Europe, UNESCO and the Bologna Follow Up Group. Description of Project Assistant profile:

The Project Assistant (PA) assists in the planning and implementation of duties related to coordinating, organising and implementing ESU projects and events. The main objective of the project assistant position is to help the current ESU project officer to complete projects and follow administrative and financial regulations. His/ her duties are analytical, evaluative, interpretive and dynamic in nature.

Main functions and areas of work:

1.    Support function. As support staff, the project assistant helps clarifying the objectives and operations for a particular ESU project or program mainly by:

•    Arranging logistics for meetings, conferences, trainings, and other project-related events,

•    Preparing the necessary materials, including reports, presentations, agendas and other meeting neccessities.
•    Maintaining and updating webpages that are related to the project, including disseminating project information to project stakeholders,
•    Monitoring the achievement of project activities on behalf of the project officer.

2.    Administrative function. The project assistant acts as a liaison between the project officer, content coordinator(s) and other staff. The project assistant adheres to the protocol for the transfer and dissemination of project information. She/ he also provides other support functions, such as implementing the initial point of contact with project partners or supporters.


3.    Financial administrative function. The project assistant submits monthly budgets for projects and programs in an efficient and careful manner as well as expenses report to meet all protocols.

Requirements
•    A degree or comparable experience within the areas of project management and administration,
•    Knowledge and/or experience with the EU’s Lifelong learning programme (LLLP) or any comparable programme,
•    Experience in event management,
•    A native/ near-native command of English (spoken and written). Additional knowledge of one or more European languages is highly desirable, particularly French or Dutch.
•    Good conversational skills – written and verbal,
•    Proficiency in MS Office.

•    Motivated, dynamic personality with strong team working skills
•    Ability to work under pressure
•    Training skills

Terms of contract


•    The position is advertised for 19 hours per week agreement.

•    Fixed contract, starting on 1 September, 2011 and ending on 28 February, 2012 (with a possibility of prolongation of the contract)
•    Candidates must have a working permit for the European Union (if applicable)
•    Candidates should be available to start working on 1 September 2011.
